Your invoice process needs to keep working as software, infrastructure and business requirements change. People still need to correct exceptions, code non-PO invoices, complete approvals and retrieve the supporting image.
ECMWorks helps teams plan and deliver those changes across FIPSA and the Oracle products it connects. The starting point is the outcome you need and the process you already rely on.
FIPSA — the Financials Image Processing Solution Accelerator — includes reference workflows and integrations for E-Business Suite and PeopleSoft. This guide focuses on modernizing an EBS invoice implementation. For the background, see what is FIPSA.
Start with the problem you need to solve
| What is prompting the change? | What the plan needs to answer |
|---|---|
| A software upgrade or support review | Which components can move to the proposed release, and what needs adapting? |
| Aging servers or a move to OCI | How will processing, task access and invoice retrieval work in the new environment? |
| Too much manual correction | Which recognition or validation problems create the work, and how will improvement be measured? |
| Slow non-PO coding | Which account lookups, validations or task handoffs are getting in the way? |
| A content migration or ERP change | How will unfinished invoices and historical image links remain accessible? |
These questions help define a useful scope. A recognition issue may call for a focused Forms Recognition improvement; an infrastructure move requires a broader review of the running environment.
Upgrade the environment around the process
An upgrade assessment identifies the versions, integrations and customizations in use, then checks the available path for each one. Where 14c is the target, the plan must establish compatibility across the dependencies needed by your implementation.
The assessment covers:
- Images and their context. Document counts, metadata, access controls, searches and links from EBS. See WebCenter Imaging planning.
- Recognition and review. WFR configuration, extracted fields, review behavior and representative invoice samples.
- Workflow behavior. Task assignment, exceptions, approvals, import results and recovery from failed handoffs. See SOA upgrade planning.
- Non-PO coding. Account lookups, required fields, validation and the actions people use to complete or reassign work.
- ERP connections. Invoice import, holds, transaction updates and image retrieval from EBS.
The delivery sequence follows the actual topology and confirmed upgrade requirements. The WebCenter upgrade guide and multi-product upgrade planning guide provide further context.
Move to OCI with a tested cutover plan
A move to Oracle Cloud Infrastructure can address aging infrastructure while carrying forward the invoice process. Scope the move around the complete environment: application servers, databases, document storage, identity and the connections to the ERP.
For environments spread across several servers, we also review how users reach the service and how the servers share the information needed to open tasks and perform actions. The useful outcome is that an AP user can open, code, save and complete an invoice consistently after the move.
Many teams finish processing and close all SOA workflow instances before migration. The cutover plan should define when incoming work pauses, how remaining workflows are completed and how processing starts again. Moving active SOA instances is an optional requirement with its own feasibility checks and validation when the business needs it.
Unfinished invoices in EBS are a separate concern: an ERP record can remain open after its SOA workflow has closed. The plan identifies any follow-up those invoices need and verifies their image links. It also defines how migrated content is reconciled and how to recover if a required cutover check fails. Software support and upgrade requirements are assessed alongside the infrastructure move.
Improve recognition, workflow and non-PO coding
Process improvement can be focused on the work causing delays:
- Recognition: investigate the fields and invoice types generating repeated correction, then test changes against a representative sample. Where a different extraction approach is being considered, compare its results and integration requirements; see WFR and OCI Document Understanding.
- Workflow: review routing, exception queues and handoffs. Some changes are configuration updates; others require changes to the SOA composites that coordinate the process.
- Account distribution: review the coding screen with its users, including lookups, required values, totals and reassignment. Existing form customizations and extensions need to be assessed separately. See non-PO coding form modernization.
For a wider replacement, required business rules still need to be carried into the new process. EBS can remain the system of record, with its integration reviewed and tested as part of the change. If the ERP roadmap includes PeopleSoft, JD Edwards or another target, we assess that integration separately.
What we validate before cutover
A working login is the start of validation. Representative tests should also demonstrate that:
- Documents enter the expected queue and the image matches the invoice data.
- Users can review, code, save, reassign and complete the tasks appropriate to their roles.
- Successful imports, rejected imports and invoices with holds follow the required resolution path.
- The ERP transaction opens the correct image, including migrated historical documents.
- Workflow closure, remaining ERP work, reconciliation and recovery follow the agreed cutover plan. If active SOA instances must move, their handling is validated separately.
What an ECMWorks assessment delivers
We review the running environment and the invoice journey with your team. The output is a recommended approach, a dependency and customization inventory, the validation scope, and a staged delivery plan with cutover and recovery requirements.
The component inventory tool can help start the Content Server inventory. Forms Recognition, workflows, coding and ERP integration also need review to complete the picture.
Bring the change you are considering and the problems your AP team is seeing. We will use those to define the assessment and the next practical step.
